FACILITY RENTAL FAQs

How can we see the rental spaces?
Tours of rental spaces are available Monday - Friday from 9 am to 4 pm. Site visits can be scheduled with the Facility Rental Manager, at 406.994.6223 or email. Please make an appointment to ensure that the space you are interested in is open for viewing.

Who can rent your facility?
Designated spaces in the Museum of the Rockies (MOR) facility are available for rent by associations and individuals on a space-available basis. MOR does not generally provide space for political or religious events, profit-making activities, fundraisers for other organizations, or any activities inappropriate to MOR's mission. If you have questions regarding this policy or to make a reservation, please contact the Facility Rental Manager at 406.994.6223 or email.

Can I have my film screening at MOR?
Unfortunately, the projection system we currently have in the Hager Auditorium does not have high enough resolution for film screenings. Groups have been disappointed with the quality in the past, so we no longer recommend using our system for this purpose.

Can I have my wedding at MOR?
At this time, we are not hosting weddings at the museum.

How far in advance do we need to reserve a space?
Reservations must be booked a minimum of three weeks in advance of the event. However, we encourage you to reserve your date as soon as possible because available spaces do fill up. A 25% deposit is due upon booking to hold the reservation; the deposit is 100% refundable if a cancellation is made at least 30 days before the event.

How can I check availability or reserve a potential date?
Please call the Facility Rental Manager at 406.994.6223 to check date availability. If a date is open, we will hold the space for one week. During this week, you may confirm your event at the Museum by signing the contract and paying a 25% deposit. At the end of the week, your hold will be canceled and space will be opened to other rentals.

What services does the rental fee include?
The basic rental fee includes the use of the space for two hours with a half hour to setup and a half hour to clean up your event. If additional set up or clean up time is required, the hourly rental rate will apply. All rentals are provided with at least one Museum staff member who will act as your host for the evening. We will also provide tables, chairs, etc. depending on availability. Please note that the Museum does NOT have linens, dishes, etc. available for rental. The rental fee includes basic custodial service such as emptying of trashcans. If the event host departs prior to adequate clean up of the space, an additional expense of the hourly rate plus an additional fee of $50/hour will be incurred. Any questions regarding this policy may be directed to the Facility Rental Manager.

What if my guests arrive early?
MOR will not open doors to your guests until your contracted event start time. Please advise your guests to come to the Museum at the specified time.

Are we required to use MSU Catering?
No, you may use any catering company. A list of recommended caterers who have worked with the Museum in the past is available by contacting the Facility Rental Manager. If the company you select has not worked with the Museum before, we require that they meet with the Facility Rental Manager to review the event space and our policies and procedures prior to your event.

Are we permitted to serve alcohol at our event?
Yes, you are. However, the inclusion of alcohol in your event requires prior approval; please fill out the online Alcohol Request Form, which will automatically be submitted to Montana State University’s Auxiliary Services, at least three weeks prior to your event date. Please note that all alcohol must be served by a licensed bartender. MOR does not provide catering or bartending services, but we can recommend businesses in Bozeman that you may hire. 

Does the Museum provide any event supplies?
No. All signage, sign holders, promotional items, or decorations must be provided by the event host.

What is the Museum’s shipping and receiving policy?
Unfortunately, the museum cannot accept any deliveries or shipments. All materials must be brought onsite by your vendors or staff on the day of the event.

What are the restrictions with regard to decoration, music, and entertainment at MOR?
Our comprehensive policies and procedures will be included with your contract. An electronic version is available here to review before contacting the Facility Rental Manager. The renter must submit a list of all outside vendors to the Facility Rental Manager no later than 30 days prior to the event to ensure adequate time for coordinating arrival and setup. 

What is the photography and videography policy at the Museum of the Rockies?
Photography is allowed in all rental spaces except exhibit areas. The photography policy in exhibits is dependent on what is currently on display. There will be signs notifying visitors where photography is and is not allowed, but any questions may be directed to your event host.

What if our organization can’t afford the rental fee?
The Museum provides a 15% discount to all Montana State University Entities, and a 10% discount to 501(c)(3) Non-Profit Organizations and MOR Business Members. 

Can I have my child’s birthday party at MOR?
The Museum does not host birthday parties. This means that we do not provide or rent table linens, decorations, or party favors, nor do we provide catering services. You may, however, rent our Redstart Classroom for a minimum of 3 hours and bring all of your party supplies with you.

Please note that if you and your party guests wish to visit the Museum’s Exhibit Galleries or the Martin Children’s Discovery Center, you will be required to pay Museum admission in addition to the cost of renting the Classroom. Groups consisting of over 10 people will receive $1 off the price of each individual admission during our business hours.
